PatientNOW – Security vs. Privacy

Though security and privacy sound like the same thing, did you know there are distinct differences between the two? It’s a common misconception to think that because you possess security, you remain private. However, despite security being occupied with securing sensitive data, privacy ensures that any transfer of data is done at the notice of an owner of sensitive data. In short, security is the goal of preventing an over breach of data, while privacy is more concerned with using this trust with data responsibly.

It is in patientNOW’s best interest to affirm clients that their patients will experience both security and privacy. Though the two differ, privacy is integral to the success of secure data protection. While patientNOW is an industry-leading EMR provider that provides the ultimate data protection, clients can also be satisfied in knowing that the privacy of their patients won’t run the risk of being shared or transmitted without their consent. Let’s consider the various aspects of security that patientNOW ensures and how privacy plays a role.

Protecting the Patient’s Privacy

Our software product allows physicians the possibility to not only efficiently manage their practice but the ability to engage with their patients. The ability to consistently engage patients is dependent on having access to certain information about a patient. This information includes many things that patients may be wary of giving out, including phone numbers and emails, especially if a breach of data occurs. However, with patientNOW, retaining the privacy of the individual is integral to the success of securing data. This means that patients don’t need to worry about the possibilities of having their data sold to other companies. If there is a desire to have data available to another source, a patient will be asked for permission. Any data given cannot be given out without the consent of the clients involved.

In the highly unlikely event of a breach of data occurring, we will be immediately notified Alert Logic, a platform that manages detection and responses, which we would then instantly communicate to physicians that use our service. We will explain information that was potentially exposed, what the root of the problem is and steps being taken to address the issue. What we communicate to a practice can then be relayed to a patient to address any concerns necessary.

What About Malware?

Malware is software that is intentionally malicious and can cause damage to a server, client or network. Types of malware include viruses, Trojan horses, spyware, ransomware and many others. With ransomware, the type of virus that threatens to publish a victim’s information for ransom, PatientNOW is at low risk. However, in the unlikely chance of one happening, patientNOW is capable of reverting any damage that has occurred. The backups that patientNOW use allows us to revert any data held by as much as 30 days.

Because patientNOW uses AWS for their securing data, they do not posit the risk of having web servers accessed because they aren’t accessible from the outside. The cloud-based system doesn’t run the risk of being affected by an outside source and, because they do not have any external-facing points.

Despite the AWS system having a low risk of being accessed, there is still a risk for clients because they need to use their own local machine. However, due to this, there is an added layer of protection because the AWS system cannot have their central server accessed by other clients. As well, because each client needs to have an on-sight server that transmits to the cloud-based system, there is no risk for clients that have experienced an attack to have that attack lead to affecting another. This inability for data to be hacked from client to client ensures that each client’s data remains secure from malware and gives them an added layer of privacy that keeps their information from being shared.

What Exactly is AWS?

AWS (Amazon Web Services) is a cloud-based system that makes use of the shared responsibility model. By using AWS, patientNOW can maintain an “air gap” between the storage of data and where that data is produced. This gap provides a physical distance that only increases security and leverages accountability for a breach of data. Any data given from patient to client will be encrypted and transmitted to an AWS server as an isolated tenant. As well, with the shared responsibility model, AWS takes responsibility for any type of patient privacy.

With Alert Logic integrated into the AWS system, any vulnerabilities will be instantly notified to a client. Alert Logic is constantly monitoring clients networks, providing verified results, recommending steps to correct a breach and identifying any suspicious activity. These activities include malware that may be disruptive to a client’s patients privacy. The Anomaly Detection feature of Alert Logic also tracks unusual file deletions, modifications, encryptions and alerts IT to security threats which quickly enables “safe” backup.

PatientNOW Is the Optimal Service For Ensuring Security and Privacy For Its Users

While security and privacy sound like the same thing, they aren’t. Security is a term that’s often used to describe the prevention of data from being touched. Privacy is meant to represent that the data that’s being prevented from being touched won’t be shared with anyone else. By ensuring that confidentiality will be emphasized by patientNOW, the service is effectively saying that they aren’t going to do anything with clients data without their consent. This assurance can relieve clients of not only their data being protected from disruptive activity but also their data being shared across the web.

Patient Security

“Is my data safe?” This is a question that’s on everyone’s mind lately. It’s an issue your patients will have definitely thought a lot about and also one you have probably pondered yourself, both from an individual and a business perspective.

Today, your ability to answer that question affirmatively when your patients ask is of critical importance. It can help differentiate you from your competitors and even tip the scales when securing new business.

Besides clear cut advantages in helping establish your practice as the provider of choice in your field, you can also help mitigate your risks (and they can be significant) should the data you collect be compromised.

The Digital Age Brings Many Boons and Risks

Digitization has transformed every business sector, including medical practices. In virtually every instance, the introduction of computer systems comes with vast benefits. Medical practices, in particular, have seen revolutionary benefits.

Today, your practice can consolidate all of your business services and marketing functions within a single platform, like a PatientNOW EMR, and automate nearly every aspect of your business, leveraging significant efficiencies.

For example, appointments can be calendared, past medical records can be retrieved, pre and post-operative instructions can be sent to your patients and prescriptions can be transmitted to your client’s pharmacy of choice, all instantaneously.

Inventory can also be continually monitored and controlled. Technology can add even more value to your practice when patient engagement automation, which allows you to manage multiple patient touchpoints with maximum efficiency and minimal cost, is included in your EMR.

Yet the Threat to Patient Data Is Real and Can Be Devastating and Costly

Yet this incredible power comes with certain dangers. To grasp the potential risks of online solutions — and their potential impact on your practice — consider these recent data breaches at some of the world’s largest corporations.

Yahoo’s 2013 data breach — one of only several recent major breaches — compromised the data of 3 billion users. That is close to half of the world’s 7.7 billion population.

A year later, an eBay security breach exposed the data of an additional 145 million users. And Equifax’s breach put 143 million users at risk in 2017. Eight other major security breaches also occurred between 2005 and 2017.

During the same time period, an additional 8,000 “minor” breaches occurred. Although more limited in scope, the potential consequences to individuals and businesses from any one of these smaller incidents carry the same frightening consequences.

Here’s Why You Can’t Afford Not To Protect Your and Your Patients’ Data

Successful hacking attacks like these have the potential to cause enormous harm to consumers. Data – such as legal names, addresses, telephone numbers, social security numbers and bank account and credit card numbers — can directly fuel identity theft and financial fraud schemes. Adding sensitive medical information to this list can lead to even greater harm.

The damage and disruption to affected individuals can be extreme and devastating, often resulting in lengthy and expensive class-action litigation suits. The liability that corporations face as a result of failure to protect their customers’ data can be monumental.

Equifax, for example, agreed to an over $575 million settlement with affected customers, with some individuals eligible for up to $20,000 in compensation. Few but the largest corporations can sustain these damages and remain solvent and viable entities.

The Healthcare Industry Continues To Embrace on Online Data Hosting

However, the potential risks inherent in data hosting solutions have not deterred major healthcare corporations from relying on electronic medical records. Healthcare providers have continued to embrace this trend, even while facing heightened risks.

For example, Ascension Health has recently partnered with Google in a deal that would have the Internet giant host up to 50 million patient records. Ascension is the second largest healthcare provider in the United States.

The overwhelming benefits of online EMRs explain this trend. Yet if global corporations with advanced IT infrastructure and security systems are at risk of a data breach, how can you defend your patient resources with more modest IT budgets and resources?

Your PatientNOW EMR gives you all the tools you need to run your practice efficiently — and safely!

Even small medical practices can easily adopt stringent, world-class IT security measures that will protect their practice and patient data from all but the most aggressive attacks, giving you and your patients maximum peace of mind. The benefits and value of implementing an information security system in your practice speak for themselves.

Protecting Your Patients Data Can Safeguard Your Reputation (and Help You Avoid Legal Problems)

We have already mentioned many of the advantages of implementing a secure EMR in your practice, above. A secure EMR can shield critical patient data from hackers who can sell or use that information for illegal financial gains. You can also reduce your risk of litigation due to negligence by taking industry-standard data security measures to protect this information.

By limiting access to data — through user-based authentication, networking firewalls and secure-access server rooms, for example — you can reduce your risk of attack and breach significantly. PatientNOW includes all of these features while still giving you and your staff unfettered access to the information you need when you need it so you can run your practice effectively.

Strong Patient Security Can Help You Convert New Patients and Retain Current Ones

Patient data safeguards offer additional advantages. Since patients today demand that their providers carefully protect their personal information, practices with PatientNOW EMRs can confidently demonstrate the measures they have taken when asked about data security. These measures can increase patient confidence in the practice, enabling more conversions and helping practices retain current patients who share these same concerns.

PatientNOW’s Data Security Measures Extend Your Patient Care

Your ability to prevent the unsolicited use of your patients’ personal information may not determine whether your prospect selects you for their surgery. However, it provides additional evidence of your concern for their wellbeing – which today also extends to their data – and it helps keep you stay competitive with other practices that have already taken similar steps to secure their client’s data.

Information security may never have been a primary concern during your medical training and you may even have practiced medicine for years without having to consider the issue. Today, treating your patients effectively — and even winning their trust in the first instance — depends on having a methodology to keep their body and data safe. With a PatientNOW EMR, however, you can accomplish this quickly and easily so you can focus on your core competency — improving your patients’ wellbeing.

One Simple Thing Can Grow Your Practice 3X

Most practices report that Word of Mouth (or Referral Marketing) is responsible for generating their best patients. Plus, with referral marketing, practices typically have very low costs and a very high return-on-investment. This is because your happiest patients are delighted to talk about you with their friends.

When it comes to promoting your practice, there is NOTHING more powerful than having a group of your most ardent supporters share their experience with the world. Remember Pepsi vs. Coke? People were “fighting” each other to shout out their favorite brand.

So, how can you stimulate that type of brand loyalty where your happiest patients are working to get your name out to hundreds, or even thousands, of other people?

Astute practices have already figured this out… They’ve been asking their patients to post online reviews about their experiences. If you have not yet set up a system to encourage your patients to submit online testimonials, you are losing out on the most profitable marketing opportunity available.

Of course, it can be awkward to ask patients to submit an online review. Plus, your staff is swamped… Asking patients for reviews is not “top of mind”, so a system is required.

What if I told you that you could 10X the power of your online reviews? You already know that videos are the most popular way people enjoy consuming information. Recent studies suggest that businesses that regularly post fresh video content are seen as authoritative, get found more easily online, and build a larger audience that they can engage at any time — this leads to practices more easily gaining new clients and generating more revenue.

In fact, practices that have implemented these types of systems have generated revenue exceeding 10X their investment…that’s like getting PatientNOW for free! And, in addition to generating more revenue, another one of the “side effects” of publishing reviews is that you will create a culture of exemplary customer experience — when your staff knows that they are being reviewed, they will be on their game every day.

Built into the latest PatientNOW cloud-based release is a “Request Feedback” feature. With just ONE CLICK in PatientNOW, your patients can receive a text message or email request for feedback. Your patients have the option to submit a written or video review, which can be published to a variety of sites, such as Google, Yelp, YouTube, Facebook, WebMD, and many other sites.

The entire process is managed by Patient Approved®, one of the nation’s leading patient satisfaction software firms. To experience the power of Patient Approved®, ask us to activate this feature so you can get more new patients, NOW!

What Does It Mean To Be Secure and How Does It Affect My Practice?

Today, you often hear people throw the word “security” around. It’s a word that has several different meanings, depending upon the context in which it’s used. However, when it comes to data, the term security refers to several critical aspects of your practice’s information that you will want to be very keenly aware of.

Protecting your data’s security, from an information technology standpoint, must address all of these critical areas. If it doesn’t, your data could potentially be exposed to many risks that could jeopardize your client’s confidentiality and hamper your practice’s ability to conduct business. However, doctors don’t have to become cyber-security experts to protect their patients and practices.

Industry-leading EMR provider PatientNOW, along with its cloud-services hosting partner AWS, offer doctor’s turn-key, best-in-class solutions that provide the functionality you need with the flawless security you and your patients deserve. To see how PatientNOW with AWS gives you the ultimate in data protection, let’s look at a few critical aspects of every PatientNOW cloud-based application.

Maintaining Your Data’s Integrity

There are two primary forms of data integrity. The first is ensuring that the data you enter into your PatientNOW EMR is accurate, is unaffected by unexpected or unwanted changes and is carefully preserved for when you need it in the future. Your PatientNOW EMR satisfies all these requirements through user authentication, which you are already very familiar with, and data-validation tools, which operate at every stage of your interaction with your PatientNOW EMR.

You also want to be sure that your data is kept entirely separate from that of other competing practices. This eliminates the possibility of inadvertent data breaches or cross-contamination of your data with information from other sources. Every PatientNOW EMR powered by AWS accomplishes this goal by keeping your data physically separated from all other clients.

This physical separation includes separate databases — so only your data resides on your databases — and also network separation or “air-gapping.” Air-gapped servers make the connection between your computers and those from another practice physically impossible. Additionally, when PatientNOW transfers your data from production servers to your host servers, we use state-of-the-art, high-strength encryption to safeguard your data upon loading, giving you complete assurance from the earliest stages.

Keeping Your Data Secure from Intrusion

Once PatientNOW has set-up your dedicated EMR hosting servers, PatientNOW then takes the next crucial step required to protect your data — preventing data corruption or theft from unauthorized outside intrusion. The first way PatientNOW helps stop unwanted intrusions is through server architecture. Your dedicated server pod, called an “instance,” never includes web servers; this eliminates a major entry point used by hackers to get unwanted access to your data.

Additionally, client consoles — the software on devices you and your staff use to connect to your EMR — never have “root access” privileges; this prevents malicious users from uploading malware (harmful software) that could corrupt or co-opt your data. However, hacking technology evolves quickly. For this reason, your cloud-based EMR has another essential feature to render malware inoperable and preserve your data, guaranteeing your practice stays up and running.

Preserving Your Data Through Continual Back-ups

Ransomware allows hackers to take your data hostage, effectively putting a halt to your regular business operations until they get what they want. But what if you always have your data available to you, safe and intact, in the event of such an attack? Continual back-ups prepare clients for just this possibility, by making live, active data quickly retrievable and subverting unauthorized attempts such as these. With live backups, clients can continue serving their customers without disruption.

PatientNOW cloud-based EMRs with AWS support offer you precisely this guarantee. Routine backups keep data from the present up to 30-days old on-hand and readily available, reducing your practice’s threat from ransomware while also protecting one of your practice’s most valuable assets, your patient information. Automated data retention also insulates your practice from the risk, although small, of hardware failure. But PatientNOW with AWS protects your practice in even more ways.

With a PatientNOW cloud-backed EMR, you can count on “the cloud,” itself, being secure, too

When you select PatientNOW as your EMR and cloud-hosting partner, you will never have to worry about problems with your computer systems. Ever. This is because PatientNOW and AWS strictly follow a Shared Responsibility Model to protect your infrastructure. In an SRM, AWS takes total ownership of ensuring your hardware systems are always up and running at optimum efficiency; this includes your operating servers, electronic-storage units, networking capabilities and all monitoring software. PatientNOW takes care of all the rest, including your EMR applications, user authentication, encryption, firewalls and backups. Every aspect of your hardware and software instance has the full protection of PatientNOW and AWS so you can continue to focus on your patients, using the tools you have come to rely on, completely worry-free.

PatientNOW Cloud Solutions Featuring AWS Support Protect Your Data From Every Angle

Storing one of your most valuable assets, your data, in the cloud can be unsettling for some doctors. It can feel like their practice information is out of their hands and out of their control. It can seem like the precise opposite of what common sense would dictate — keeping your data at your practice where you can guard it, directly, yourself.

However, unless you have the resources to invest in a full-time IT person — and all the hardware and software infrastructure you will need in addition — your data still won’t have the full protection it can. Cloud-hosting your PatientNOW EMR with AWS, on the other hand, gives you access to world-class technology and experts in every infrastructure subspecialty for total peace of mind, 24/7.

Still need more information? Call one of our friendly cloud-support specialists at 800-436-3150 to get your questions answered today. Lead Generation with RAMP Marketing Solutions

How do I grow my business while also maintaining it? This is the core problem all doctors face. You spend the majority of your time, as you should, giving your patients world-class medical care and ensuring their safety and results. Without a doubt, these efforts will lead to natural business growth through follow-ups, additional procedures and referrals.

However, while you and your practice staff are actively attending to the patients in your office, a host of other prospective patients are on your website and social media feeds, seeking additional, personalized information to help them decide whether or not to have an elective surgery or other treatment. In today’s digital age, most of these prospects expect a response in minutes, not hours, posing an additional challenge.

Further complicating matters, new patients don’t limit their inquiries to regular business hours. Even if you chose to hire a full-time customer service representative to respond to incoming inquiries, you might need someone on your phones, forms and social feeds 24/7 to ensure you don’t lose any new leads.

This problem may have a familiar ring to it. You have already faced many other practice management challenges, such as scheduling consultations, preparing patients for surgery, and follow-up and secondary procedure marketing. Like many doctors, you probably have implemented an EMR to surmount these difficulties. Could you also automate responses to these customer requests through your EMR?

Today, you can. If you currently rely on a PatientNOW EMR, you can now leverage your existing platform to handle new client inquiries — whenever they occur, day or night — and ensure that each new contact gets a response and relevant information in realtime. If you don’t have a PatientNOW EMR, now you have another critical reason to get one now — just as your competition has.

Convert New Leads in Realtime With
PatientNOW’s Fully-automated RAMP Marketing Solution

RAMP by PatientNOW is the industry’s first and only fully-automated lead conversion tool. The module works seamlessly with your PatientNOW EMR and continually monitors all your online marquees, responding to and pre-marketing prospective patients. PatientNOW’s RAMP frees you and your practice staff to focus on your existing patients while giving new prospects an immediate response along with tailored information during the initial — but crucial — first interaction with your practice. RAMP has two phases which ensure you never miss a lead and that each prospect receives personalized attention.

Do you have the bandwidth to monitor and respond to all new patient inquiries across all your feeds? RAMP does. Whenever a prospective patient fills out a contact form for your practice — anywhere on the web — RAMP initiates a critical sequence of events to ensure you can fully capitalize on the lead, which your existing marketing spend has earned.

RAMP will:

  • Create a new contact in your PatientNOW EMR — including name, number and procedure of interest — ensuring no lead is ever lost
  • Send your lead a welcome message — in minutes — demonstrating your responsiveness and building confidence in your practice, from the very first engagement

Wherever your new patient is online — even if they request information in the middle of the night — your practice won’t miss a beat or an opportunity. However, RAMP doesn’t stop after sending a welcome message on behalf of your practice.

The next day, RAMP begins an automated pre-sales process that provides your prospect with detailed information about their procedure of interest, branded by your practice, encouraging them to schedule their in-person consultation for diagnosis and treatment.

RAMP will:

  • Engage your lead with procedure-specific information the next day, demonstrating your expertise in your specialty and presenting your unique value proposition
  • Notify your Patient Coordinator of the new lead, so they can follow-up in person, answer additional questions and book their consultation

By the time your patient coordinator speaks to your prospect directly, they will already have had multiple positive and informative interactions with your practice, situating you as a trusted partner and making your task of scheduling a consultation even easier.

Get even more from your PatientNOW EMR today with RAMP!

RAMP offers your practice several key advantages. It allows you to capture and nurture new leads while it also ensures you get the full value from your existing marketing spend and efforts. And with a single team to contact for all of your practice support needs, what could be easier to manage?

But perhaps the single best reason to add RAMP to your current marketing efforts is that you will have PatientNOW’s full team standing behind you and supporting you, every step of the way — just as we have throughout your EMR implementation, expansions, custom requests and daily-support needs. Online Security For Your Practice

It’s the middle of the night, and your practice has just been hacked. Your stolen data has now been encrypted by the hackers and is being held for ransom. To make matters worse, your practice, like so many others, does not have a current backup of this data to fall back on. As shocking as this scenario sounds, it is a fate which could befall many practices today. All too frequently, medical practices have either sub-optimal security and backup systems in place, which can easily be compromised hackers, or they decide to “risk it,” believing it can’t happen to them and leaving themselves vulnerable to an attack like the one above.

This story above is not an imaginary scenario to highlight the importance of securing your data and having routine backups, but rather, the actual experience of a doctor’s practice located not far from PatientNOW’s office. Upon learning of this disastrous security breach, a nearby practice — unrelated to the one whose data was stolen — took action to prevent such an occurrence from happening to them. The practice, who already used PatientNOW to manage their flow of data, now called us to learn what else they should do to ensure the safety and integrity of their practice information. This is the story of what happened next.

An EMR Is the First But Not the Only Step Towards Adequately Managing Your Patient Data

The practice that called us had already taken the first step towards adequately controlling their data rather than letting their data control them. After consulting with us initially, it quickly became clear that the practice could store crucial patient data in a PatientNOW EMR, guaranteeing them access to the right data at the right time, maximizing their practice’s efficiency and allowing them to focus on what they do best — treating patients.

However, even an “in-house” EMR — while an effective data management tool — does not go far enough to protect your data from every eventuality, including the possibility of having your computer systems compromised by people who want to steal your data. This is why PatientNOW offers more than EMRs as part of its comprehensive suite of data management tools for doctors. PatientNOW also gives its customers the option to house their entire PatientNOW EMR system in the cloud.

For those new to the term, “the cloud” is a network of servers housed in a highly-secure data center. In addition to physical security, a data center provides the highest assurances of your data’s safety from unwanted intrusions from third parties. Housing your data in the cloud also has other advantages. For example, cloud facilities guarantee “up-time” so that your computers aren’t down when you need them most, ensuring you continuous access to your data. Daily data backups performed on-site provide customers with additional safeguards; backups, which can preserve data for 30 days or more, can reduce your risk in the unlikely event of hardware failure.

After discussing all these advantages at length with us, our client decided that housing their data in the cloud gave their patient information the best possible protection while still ensuring 24x7x365 access to everything they’d need to run their practice, from any device. Crucially, patients could also interface with the practice from their own devices securely. Now, the only question that remained would be how to migrate their data from their in-house servers to the cloud quickly before they, too, became the victim of the next doctor’s office security breach.

The Right Solution Will Also Include the Right People

Your primary area of expertise is the health and wellbeing of your patients. So who do you go to when you suspect that your information systems might not be in the best of health? Whether or not your practice is already using a PatientNOW EMR, PatientNOW can be an invaluable resource on the side of your practice and information security. Once the decision was made and the agreements signed, it was time to shift the focus to action quickly.

PatientNOW clearly and thoroughly explained all the steps that would be necessary to transfer the practice’s patient data to a system in the cloud that would preserve all of their existing functionality and also add the security, and ultimately peace of mind, that the practice sought. The practice communicated a key deadline to the PatientNOW team — the transfer of data would need to occur in the span of 48 hours; the doctor would be out of the office during this time, so completing within this window was the only way to ensure that the practice experienced no downtime.

PatientNOW immediately began work on preparing the data for transfer and then migrating data to a waiting PatientNOW cloud-based EMR solution housed in the data center. The data was loaded and verified for integrity before new login credentials were generated for all the practice’s team. Once the doctor’s staff logged into the new cloud version of their EMR the next morning, they were all able to breathe a huge sigh of relief — the cloud version of their software exactly matched the interface they were all used to, and all their data was there, accessible and secure.

What made this turnaround for the practice successful was a combination of critical elements, essential to any business which relies on data — best-in-class software, which the practice was already using, state-of-the-art computer architecture, that provided the necessary security layer against data intrusions, and capable and experienced technology experts who could quickly craft a plan to achieve their clients goals and put it into place flawlessly, overnight. This is the value that PatientNOW can offer doctors who demand nothing but the most stringent protections for their practice and patient data along with top-tier customer service.

We, at PatientNOW, would like to remind you that this is not a hypothetical case study but a real client experience. In fact, our client wrote to us to thank us for helping them implement a solution that worked “flawlessly” for them — their descriptor, not ours — on very short notice:

“The point of this letter is to let you know how pleased we are with your employees. It is not every day a small organization like ours makes a major change like this without much trepidation. Thank you for allaying our fears and hiring excellent and capable employees.

Carl Messenger
Renaissance Plastic Surgery”

At PatientNOW, we are very proud to say that this is but one of many examples of how we have helped doctor’s office across the nation protect their data and provide the highest level of service to their patients, whether by providing them with outstanding medical advice or treating the protection of their personal data as an equally critical concern.

Protecting your data can seem like a complex problem, but the solution can be quite simple

A PatientNOW EMR allows doctors to leverage their patient data to the fullest extent. Our software enables our customers to automate the most time-consuming aspects of their business, making their data storage and retrieval work for not against them. By allowing doctors to give their patients their full attention, without having to worry about patient records, we enable them to provide their clients with the highest level of service and value, all but guaranteeing the positive experiences that will lead to patient retention and recurring revenue.

When you add industry-leading data security to your PatientNOW EMR through a cloud-based solution, you can extend these benefits even further. What is RxNow And How Can It Benefit Me?

“ … [RxNOW] was super easy to learn and my practice is ahead of the curve … “ — David L. Abramson, MD

The scenario is cliché. You write a prescription on a piece of paper and give it to your patient. If they don’t misplace it — it happens — they take it to their pharmacy which takes time out of their day, and they hand the slip to the clerk. If the clerk can read it, your patient leaves with a prescription; if they can’t, your office gets a call — tying up you or your practice staff — and your patient has to wait. It doesn’t have to be this way, and for many practices, it’s not this way anymore.

Automation eliminates error and risk, and probably few areas of your practice will benefit more from these benefits than your prescription workflow process. Today, PatientNOW offers RxNOW — a leading prescription automation workflow that seamlessly integrates into the PatientNOW EMR system that you already have, use and love and that already makes your practice efficient and profitable. Here’s how RxNOW works, why you and your patients will love it and what makes it the next investment you should make in your practice.

What RxNOW does

No more paper. With RxNOW, you can automate and streamline one of the most time-consuming and patient-critical components of your patient care, prescription writing, and also reduce costly and embarrassing errors.

RxNOW allows you to build a database of the medications you commonly prescribe quickly and the pharmacies your clients use most, making each new prescription faster and easier to write.

Our prescription workflow also gives you access to your patients’ entire medication history, with all the relevant details, and checks for drug interactions with each additional medication added.

Once RxNOW saves and validates your new prescription, it can electronically transmit the information directly to your client’s pharmacy of choice. Of course, if you still need a paper copy, you can get that, too.

How RxNOW Benefits You

It’s easy to see the many ways that a PatientNOW RxNOW workflow can benefit you and your practice because you already enjoy so many benefits from your current PatientNOW EMR. (If you don’t have a PatientNOW EMR yet, you’ll see the number to call below to get those benefits.) PatientNOW offers clients not just an EMR, but an EMR that understands the needs of your practice and how you work, and we make our software features customizable for maximum efficiency. The same is true of PatientNOW RxNOW. With RxNOW, you and your practice can:

  • Learn and use the software quickly
  • Streamlines your processes and save time
  • Eliminate inaccuracies in records
  • Avoid pulling the wrong patient file or prescription
  • Comply with all DEA requirements out-of-the-box
  • Receive drug interaction alerts in real-time
  • Serve your patients with quality and ease

RxNOW by PatientNOW allows you to save time and money which you can reinvest in patient care to bolster valuable return business, and it helps you avoid costly, even dangerous mistakes. Adding RxNOW to your existing EMR not only makes you a better doctor but also a more profitable one, too.

How RxNOW Benefits Patients

Your patients will love your PatientNOW RxNOW as much as you do. We’ll list only the most significant advantages here so you can see how much value our workflow offers. If you want return business and to remain your clients’ doctor of choice, you’ll need to enhance each one of your patient’s experience every day. You can do that with PatientNOW RxNOW. With RxNOW, your patients:

  • Won’t have paper to lose
  • Will save time (lots of it)
  • Won’t have their personal information compromised or stolen (this is a huge deal these days)
  • Won’t face prescription errors or adverse drug interactions (RxNOW checks automatically)
  • Will have their complete medication history whenever they need it

What benefits your patients, benefits you. Best yet, a PatientNOW RxNOW extends your edge because it improves patient care even after your patients have left your offices.

Manage the prescriptions you write and your entire practice better with PatientNOW!

The practice of medicine is all about the doctor-patient relationship, and a PatientNOW EMR, now including RxNOW, can be your single most effective tool in giving you the one resource you’ll need to improve your patient care — time. PatientNOW revolutionizes the practice of aesthetic medicine by making it as simple as possible for you to do what you do best — care for patients. Enhanced Pathways

Building a brand takes significant time and effort. You need to ensure it conveys the value that your practice provides and also reaches and engages the demographic you want to bring into your business. However, it is not enough to have a brand. Your brand needs to reach its intended audience and do so often. While technology allows you to reach an ever-widening prospect base easily, it also introduces new challenges, especially if you want your marketing initiative to be truly effective. Marketing is not your only job, however, and you don’t want to have to add the expense of a dedicated marketing person which you will also cost you administrative time.

Yet you already have a powerful tool ready to deliver your message to existing and prospective patients the way you want them to receive it — your PatientNOW practice management system. With PatientNOW’s Enhanced Pathways module, you can capitalize on the investment you have already made in your brand and also bring it to a new audience quickly, easily and frequently. With PatientNOW’s new Enhanced Pathways workflow, you can automate your email marketing campaigns using many pre-designed templates that make it easy to create consistent messaging across all your digital channels from your main website and social media all the way through your email marketing presence.

Capitalize on the Brand You’ve Already Built

If you have an established practice, you have already spent a lot of time creating a brand which accurately and adeptly reflects your brand identity and value proposition as a physician and of your practice as a whole. Over time, you have continued to develop and hone that message into one that targets and engages prospective patients and reengages clients you have, focusing on the specific demographic you want to serve and continuing to convert prospects into patients. And you’ve continued to capitalize on your brand in many contexts — on your website and social media — because it works and brings in the business you want.

You don’t want to start over when it comes to extending your marketing outreach, nor do you want to initiate a marketing campaign that abandons your brand identity, voice and differentiators. These factors take on even more importance if you have a young practice which doesn’t have a strong core of recurring business or a pre-existing marketing presence. In either case, you can’t afford not to have a strong email marketing campaign which doesn’t make use of your most valuable asset, your brand. PatientNOW makes it easy to create brand continuity across all your media channels and automate more of your marketing efforts for maximum reward and profits.

Share Your Brand With Existing and Prospective Patients With Ease

PatientNOW enables your practice to use the branding you’ve developed and are already using in new, tailored email marketing campaigns that originate within the PatientNOW practice management tool and can be easily automated to meet the needs of your practice, whether you’re starting a new campaign for your practice, launching a new service or offering a promotion.

PatientNOW will help you every step of the way, starting with experienced advisors who can help you refine your campaign strategy and translate your brand assets into collaterals which you approve before they go live. Our experts in aesthetic marketing will help ensure not only that your enhanced campaign is on message but also that it continues your brand identity from your website and social media through to your email outreach. Once approved, PatientNOW will even set-up your campaign for you in your PatientNOW EMR, so instead of worrying about administration, you can start enjoying the benefits.

Get Even More From Your PatientNOW Automated Workflow

Once you have created marketing pathway scenarios with the help of PatientNOW that leverage your brand identity and complement your web and social media platforms, you can enjoy the many benefits a PatientNOW Enhanced Pathways module provides along with the benefits you already know well.

Enhanced Pathways allows you to extend and widen your reach at minimal cost by automating your email marketing initiatives. You can also reach existing and prospective customers anywhere and anytime with emails that also allow prospects to immediately engage with your practice by calling, scheduling an appointment online or getting more information online.

Continuity across all your digital marketing also sends a clear and compelling message, conveying your practice’s professionalism, focus and, most importantly, your unique value proposition, leading to enhanced patient relationships, greater engagement and, ultimately, conversions, revenue, reviews and referrals.

Manage your practice — and market it — with PatientNOW!

Managing multiple digital marketing platforms poses many challenges, even if you have a well defined and established brand. Ensuring that you convey your brand identity consistently across all your marketing is about more than just presentation. Continuity across your marketing instills confidence and trust which can have a significant influence on your prospects level of engagement, and these factors work instantly and often subliminally.

Creating that continuity and leveraging it through email marketing can be one of the most powerful and cost-effective steps you can take to increase your revenue. Your PatientNOW EMR makes it easier than ever to create professional, effective email marketing that converts prospects with all the ease and automation you already enjoy using PatientNOW’s workflow capabilities. And PatientNOW provides you with not only the tools but also the expertise to hone and implement your strategy so you can focus on your patients while you reap all the benefits.

Cloud vs Offline System

Are you online? Most of us can answer yes. Everything from our phones, tablets, laptops and desktops are connected to the Internet, probably all the time. We rely on this interconnectivity for routine tasks like finding the best route to our children’s soccer game to bigger tasks like planning our next vacation or researching which new car to buy. The Internet provides so many people with value because it gives them easy access to information that might otherwise be difficult to obtain. However, the Internet “works” for another important reason.

Behind the Internet — in fact, embedded in it — is “the cloud.” The cloud is actually a very concrete thing — a set of servers (powerful computers) housed securely in data centers (a server management facility) which assure they always remain online and operating. And there’s not just one data center, either; there are thousands, if not tens of thousands of them, globally. The practical implications of this are clear — someone else is managing these servers, not you, and you benefit from that, and that benefit is enormous. PatientNOW is now “in the cloud” — but how does that specifically benefit your practice?

A Cloud Solution Is Easier

A great challenge of implementing a practice management solution — or changing or upgrading one you already have — is the hardware. You will need to find a secure place in your office for it, then ensure you have the necessary power to run your machines, the air-conditioning to cool them and the security to keep them and your patients’ data safe. This can pose significant logistical problems even for larger practices, not to mention costs. If you don’t have a room ready for these computers, you might even have to build one, which could create many different kinds of problems for your practice.

A cloud solution, on the other hand, delivers the full functionality of the PatientNOW suite to every Internet-connected device you already have in your practice without adding any new devices — unless, of course, you want to. Using secure-access web portals, you can derive the full benefit from all PatientNOW’s modules including scheduling management, reminders, automated marketing, inventory control, lab orders and prescription delivery. Any screen you have — even your smartphone — can be an access point to your PatientNOW system, and you won’t have to knock out a wall or install 30-amp power sockets to run it all.

A Cloud Solution Is Faster

With a server, as with a race car, speed comes at a premium. If you want a faster model, you’d better be prepared to pay for it. So if you want a fast in-house practice management solution, you have a couple of options. You can buy the most expensive server you can afford, or you can rely on a PatientNOW cloud-based system which only requires a good Internet connection. Cost-wise, a reliable Internet connection wins hands-down both in the short and long-term, and PatientNOW operates, maintains and offers its customers servers which are probably many-times more powerful and efficient than a practice on its own would likely wish to purchase or finance.

Speed and efficiency, however, are not the only factors to consider here. There is also the problem of scalability, the ability to add more “computing power” to your system easily as your practice expands and you need additional resources to keep up with it. To be sure, if you manage your own servers, you can add in what you need when you need it. But you have another option. PatientNOW can easily help practices scale to their needs without hassles, so you don’t have to worry about “hardware.” We’d rather you spend that time thinking about your patients.

A Cloud Solution Is More Reliable

What happens if your system goes down? Who’s going to be responsible for that? Do they know how to get you back online quickly while also protecting your patient data? And do you really want to have to worry about this while you’re also trying to see patients? A cloud solution gives you guaranteed “up-time” and puts the resources behind the system to make sure you can access the tools you need when you need them and quickly get you back online should something happen.

Servers and data that don’t sit in your physical offices provide patients with a level of safety and security they simply can’t have when your practice’s hardware sits in your own offices. And these added protections that are integral to a PatientNOW cloud system can give doctors and their practices substantial piece of mind that can directly translate into more focused and qualitatively better patient care. With a PatientNOW cloud-based practice-management system, everyone wins.

Everything you love about PatientNOW, only better

You have come to rely on PatientNOW’s many practice-enhancing features which include — just to name a few — full HIPAA compliance, multiple location and user support, device agnostic functionality and marketing and lab integration tools. With a PatientNOW cloud-based system, you will continue to get all these features plus more, like added security, speed, scalability and, best of all, even less to worry about, so you can focus on what matters most — your practice and your patients. You have enough to worry about without also having to worry about your computer system. With PatientNOW, you can simply deliver exceptional patient care.
